Oscar the Grouch - Data Quality (Garbage in…Garbage out)

Before starting any marketing campaign, it is important to first clean up your data to maximize ROI from your marketing efforts. Data cleansing, data cleaning or data scrubbing is the process of detecting and correcting or removing inaccurate records from a record set, table, or database. Pull up a list segment that you want to market to and visually check for missing data, old data and data that does not conform to your database format. Make the corrections in your database and pull the list again.

After the initial data cleansing, you may determine that you have mostly old outdated data and your list requires scrubbing. Scrubbing is simply calling contacts for the sole purpose of updating their information. This can be accomplished by using a low cost resource, whether internal or outsourced. Best practices for maintaining data is to refresh every contact at least once every 6-9 months and have a field to track when the last time the contact was updated.

Having your data in a Master List is essential to growing your business. If you are still keeping your data in multiple spreadsheets it will be difficult to manage your contacts as your business grows. I highly recommend getting a database, CRM or contact manager software package where all your data can be stored. If you have little to no budget for software then try searching online for free or open source software. It is also a good idea to make backups of your data on a regular basis and store them at a different location.
